1. Who we are and what you are buying

Review My Coaching (reviewmycoaching.com) provides independent written reviews of recorded coaching sessions for coaches preparing credentialing submissions. You purchase a defined review product at the price shown at checkout; payment is processed by Stripe. Each order receives an order reference (for example RMC-2026-0421) which identifies your order in all correspondence.

Review My Coaching is operated by Gary Malcolm as an individual. We are independent: not affiliated with, endorsed by, or acting for the International Coaching Federation (ICF). ICF, ACC, PCC and MCC are marks of the International Coaching Federation.

2. How reviews are produced

Reviews are produced using AI-based analysis of your recording and transcript through multiple calibrated assessor profiles, each modelled on a distinct style of evaluation against published coaching standards. Every verdict is then reviewed and released by Gary Malcolm, Master Certified Coach (ICF), whose credential can be independently verified in the ICF directory. Reports are released under his name and responsibility.

3. What a verdict means, and what it cannot promise

A Submit verdict means the recording, in our judgement against the published standards, is ready to submit. Not Yet means the panel is split and the report identifies what to change. Do Not Submit means no assessor perspective judged it at standard.

No verdict is a guarantee that ICF or any credentialing body will pass your submission. Credentialing evaluations are performed by human assessors whose judgement varies; that residual risk cannot be removed by any review, which is why the guarantee in section 4 exists.

4. The guarantee

If we issue a Submit verdict on a recording and ICF evaluates that same recording as below standard, your next review is free. To claim, send your order reference and the ICF results report for that recording. The guarantee applies once per order, covers a review of equal or lower price, and applies to the same unaltered recording we reviewed.

5. Compliance pre-check and credits

Every order begins with a compliance pre-check of what a file can show: recording length (ICF scores only 20 to 60 minutes), presence and form of the transcript, and presence of a translation where the session is not in English. If your upload fails one of these basics, we tell you promptly and your review credit carries over to the replacement recording; the credit is not lost.

Some requirements only you can confirm and remain your responsibility to ICF: that the recording is one continuous unedited take, that your client consented in writing, and that any translation is accurate. We flag obvious signs of editing but cannot certify these for you.

6. Rank orders

Rank orders cover up to five recordings and deliver a ranking plus one full review of the recording (or pair of recordings, for PCC and MCC) we judge strongest. If our honest conclusion is that none of the submitted recordings clears the bar, your next rank order of up to five recordings is half price.

7. Refunds

You may cancel for a full refund any time before your review has begun. Once a review has begun or been delivered, fees are not refundable, because the service has been performed; the guarantee (section 4) and credits (sections 5 and 6) are the remedies designed for the outcomes that matter. Nothing in these terms limits rights you hold under applicable consumer law.

8. Your files, confidentiality and retention

Your recording and transcript are used only to produce your review. Recordings are deleted once your review is complete; we retain the transcript and your report under your order reference so the guarantee and any dispute about our advice can be resolved. Nothing you send is published, shared with third parties beyond the processing described in the Privacy Policy, or used to train models without your explicit written consent.

By ordering, you confirm your client has approved the recording being used for your credentialing submission. We recommend also capturing the client’s verbal agreement on the recording itself.

9. Liability

Our total liability for any order is limited to the price paid for that order, or where the guarantee applies, the free re-review it provides. We are not liable for credentialing outcomes, application fees, retake fees, or other costs of a credentialing process, which remain between you and the credentialing body.

10. Changes

We may update these terms; the version published at the time of your order applies to that order. Material changes will be dated on this page.
